A luxury yacht charter brokerage was managing highly complex, six-figure trips using pen and paper while their Zoho CRM system sat idle. We rebuilt their trip-planning process directly inside the CRM. We introduced automated trip setup, intelligent compliance tracking, and dynamic documents that fill themselves out, shifting the entire operation onto autopilot.

Every charter carried in someone's head

At the start of the project, the client summed up their operational hurdle perfectly: "The Charter Assistants are all tracking their work on notepads. The CRM isn't being updated."

Every charter they book is a complex, high-value trip with strict payment schedules, legal checks, insurance decisions, medical waivers, and banking instructions. But instead of living in a central digital system, all this critical information existed only in someone's head or scribbled on paper.

That system falls apart the moment an employee is out of the office. Crucial legal checks can get missed. A client might be chased for travel insurance they've already declined. A medical waiver reminder could be sent at the wrong time. Or worse, a master trip document might be sent out with the wrong international bank details.

The goal was to rebuild the entire charter journey inside Zoho CRM. We needed the trips to run off the software, not physical notepads. We wanted deadlines to trigger automatically and the right documents to generate without typing, freeing up the staff to focus on the work that actually requires human attention.

What we built

Automated trip creation

When a potential booking is marked as a "Created Trip", the system now takes over automatically. It sets up placeholder values and adjusts the expected closing date based on real-world sales cycles.

It also automatically emails client welcome guides. The system is smart enough to check if the client has booked before, ensuring that repeat customers don't receive the "first-timer" guide.

Deadline and compliance reminders

We built three distinct types of automated reminders. Instead of firing at random times, they trigger based on the actual status of the trip and go directly to the person in charge.

  • Legal checks: Reminders to complete mandatory compliance checks fire right before a contract is finalised, ensuring they aren't forgotten when it matters most.
  • Travel insurance: The system automatically chases clients about travel insurance. If a client declines in writing, staff can check a single box to permanently stop the reminders.
  • Medical waivers: Reminders to get a medical waiver are sent automatically, exactly 14 days after the first deposit clears. No one has to manually track the date.

Document generation and automated workflows

We automated the creation of the "Charter Summary", the master document for the trip. The system pulls the payment schedule, deposit amounts, banking instructions, and disclaimers, merges them into a template, and readies them for a digital signature.

We also built in a smart system for financial details. Depending on the management company involved, the system seamlessly swaps in the correct international bank account information, deliberately hiding the last four digits of the account number for security purposes so the document can be shared safely.

Finally, we built an 8-step digital checklist for pre-trip preparation. When one person finishes their task, the system automatically alerts the next person in line (whether that's an assistant, a broker, or a captain). If a deadline is missed, the system escalates the reminder. The entire process is now managed by the system, not someone's memory.

Charter Deposit Form

We created an automated internal financial document that handles tax, currency conversions, and complex commission splits between the agency, the broker, and travel partners. It calculates everything automatically based on a few inputs.

    Read the live state through the API before touching anything - every change designed against what is actually there.

    Pre-change state captured and the reversal script written before any bulk write - any change is one command to undo.

  3. Staged Rollout

    New automation built disabled, then enabled deliberately - never switched on mid-build.

  4. Canary Fire

    Observed on a single real fire before anyone relies on it - one deal, one document, one task.

  5. Adversarial AI Review

    An independent AI pass instructed to break the build - findings checked against live data and fixed before the client ever saw them.

  6. Real World Acceptance

    A change passes when the real PDF, task or email is observed correct - never on API success code.

Results

The charter operations have successfully moved off notepads and into a centralised, automated system. The true test of success was simple: can an assistant take a week off and the trips still run properly? Before this project, the answer was no. Now, the answer is yes. The CRM is the single source of truth, and the automated reminders don't care who happens to be in the office.

The biggest shift has been cultural. CKIM Group now has an operational system that runs flawlessly, regardless of who is working that day.

By automating the tedious administrative tasks, the staff has won their time back. Now, they can focus on the parts of a six-figure charter that actually need a human touch: negotiating deals, managing client relationships, and solving unexpected problems.
