[ CRM AUDIT / ZOHO CRM ]

Your Zoho CRM has rules fighting each other.

We connect via scoped OAuth and run our own audit engine across every module, layout, Blueprint, Workflow Rule and Deluge function — then hand you a prioritised roadmap. Nothing changed without your say-so.

[ 01 / SOUND FAMILIAR ]

Zoho lets you build anything. Including a maze.

Zoho's depth is its gift and its curse. Layouts multiply, automation stacks up in a fixed order most admins never audit, and Deluge functions accumulate that nobody documented. If any of this rings true, an audit will pay for itself.

Field & layout sprawl

Duplicate custom fields across layouts, some modules nearing edition field limits.

Cost · Reps hunt for the right field; you're about to hit a hard cap.

Ungoverned stages

Deal Stage is a free picklist with no Blueprint enforcing transitions.

Cost · No guardrails — reps skip stages and mandatory data goes uncaptured.

Validation bypassed

Validation Rules exist, but webforms, imports and APIs write straight past them.

Cost · Bad data walks in through the back door your rules don't guard.

Zombie Deluge & schedules

Undocumented Functions and scheduled jobs referencing deleted fields.

Cost · Silent failures — and API credits burned on jobs nobody needs.

Automation collisions

Assignment, Scoring, Workflow, Blueprint and Approval all acting on the same field.

Cost · The fixed execution order produces results no one can explain.

Duplicates from every door

Webform and import back-doors create duplicates faster than you merge them.

Cost · Split history, wrong owner, forecasts built on double-counted deals.

[ 02 / WHAT WE AUDIT ]

Every module and every rule. Nothing skipped.

We walk your Zoho CRM in the order it actually executes. Select a surface to see exactly what the audit inspects and the problems it typically surfaces.

Modules, Layouts & Fields

The whole data model, standard and custom.

What we inspect

  • Module inventory — redundant custom modules, misused sub-forms
  • Layout proliferation and fields duplicated across layouts
  • Field types — text where a Pick List / Multi-Select / Lookup belongs
  • Formula fields referencing removed fields; lookup vs relationship misuse
  • Field counts against per-module edition limits

What it surfaces

Field & layout sprawl hitting edition caps, and picklist fragmentation breaking reports.

[ 03 / HOW IT WORKS ]

Audit → Fix → Future strategy.

A repeatable, transparent pipeline. You see every step, approve every change, and can reverse anything.

  1. 01
    Connect

    Scoped OAuth, read-only

You authorise Zoho OAuth2 with read scopes only. Discovery never requests write access. Revoke it any time from your Zoho account.

  2. 02
    Snapshot

    Point-in-time baseline

Before anything else we capture a full inventory — modules, layouts, fields, Blueprints, rules, functions — plus a data backup as a timestamped baseline you keep.

  3. 03
    Analyse

    Our engine walks every component

Our own audit engine systematically inspects every module, Blueprint, rule and Deluge function — quantifying fill rates, duplicates, fragmentation and automation health, in execution order.

  4. 04
    Report

    Findings + Health Score

You get a categorised findings report with a CRM Health Score and sub-scores, plus the evidence behind every finding — field-utilisation tables, duplicate counts, automation dependency maps.

  5. 05
    Remediate

    Staged, reversible fixes

Each fix is proposed, approved, applied in a controlled batch, and logged against Zoho's Audit Log. We validate in a Sandbox first, archive over delete, and merge with primary-record rules.

  6. 06
    Architect

    Future-state roadmap

A forward architecture and governance plan — Blueprint-governed stages, field-creation discipline, an audit cadence — so the CRM stays clean long after we've handed it back.

[ 04 / TRUST ]

Read-only by default. Reversible by design.

You're handing us access to the system your revenue runs on. We treat that the way you'd want us to.

Scoped, revocable OAuth

Least-privilege Zoho OAuth2 scopes you authorise and can revoke instantly. The analysis phase requests read scopes only.

Snapshot before any change

A full inventory and data backup is captured as a timestamped baseline before a single change is proposed.

Sandbox first, archive always

Where a Sandbox is available we validate there first. We archive over delete and merge with primary-record-wins rules.

Every action logged

Every change is recorded with before/after values, timestamp and actor — mirroring Zoho's own Audit Log. You can see and revert.

[ 05 / THE TECHNIQUE ]

We don't just click through Setup.

A consultant clicking around Setup sees a fraction of the org and forgets it by lunch. We connect via the API and run our own purpose-built audit engine that walks every module in execution order, reads every Deluge function, quantifies every problem, and works through the best fix. Depth and consistency a manual review can't match.

  • Systematic coverage — every module, rule and function, not a sampled spot-check
  • Quantified, not vibes — fill rate, duplicate rate, fragmentation, automation health as hard numbers
  • Reads the code — Deluge functions parsed for dead references and duplicated logic
  • Reproducible — re-run the audit after remediation to prove the score moved

A premium audit, not a PDF checklist.

Everything is evidence-backed and prioritised by impact × effort, so you know what to fix first — whether you do it yourself or hand it to us.

[ 07 / OUTCOMES ]

What a clean org actually buys you.

The point isn't a tidy database. It's a system your team trusts and your pipeline runs on.

Reporting you can run on

Standardised picklists and consistent stages mean dashboards leadership can actually trust.

Process with guardrails

Blueprint-governed stages that enforce the right data at the right moment — no skipped steps.

Automation that behaves

No collisions across the stack, no zombie schedules, no silent Deluge failures.

Better lead capture & routing

Webforms mapped correctly, assignment working, no leads falling through the cracks.

One record per customer

Deduplicated, standardised data your reps trust at the point of work.

API credits under control

Zombie schedules and runaway functions retired so you stop burning credits on nothing.

[ 08 / STRAIGHT ANSWERS ]

The questions every admin asks.

It depends on your Zoho edition and the size of your org — the number of modules, fields, rules and Deluge functions all factor in. We confirm the price on the initial scoping call, before any work starts. If you then want us to implement the fixes, that's a separate engagement — but you own the roadmap either way.

Zoho OAuth2 with read-only scopes for the discovery phase. You authorise it, you can see exactly what it can touch, and you can revoke it any time from your Zoho account. We never request write access to analyse.

The analysis is read-only and credit-aware, so it respects your API limits and never degrades your instance. Nothing is changed during discovery. If you later approve fixes, we validate in a Sandbox where available, and every change is snapshotted, staged, logged and reversible.

Perfect — that's what the prioritised roadmap is for. It's specific enough for your admin to action directly. Hire us only if you'd rather we did the heavy lifting.

All of them. The audit adapts to what your edition exposes — the deeper analysis (Blueprints, Functions/Deluge, Sandbox) simply lights up on the editions that include it.

It depends on the size and complexity of your org. A thorough audit of a real Zoho org is proper work — we'll give you a clear timeframe on the scoping call, then walk you through the findings before you decide what happens next.
